Deloitte Runify 2026 organising committee acts as the Personal Data Controller responsible for the collection and processing of Participants’ Personal Data in connection with the organisation and management of the event.

Scope of this policy

This policy governs the collection, use, storage, disclosure, processing, and protection of Participants’ Personal Data obtained through:
- The official Deloitte Runify 2026 website
- Online and offline registration processes
- Race Pack Collection
- Timing and race result recording systems
- Event documentation activities
- Direct communications with participants
By registering for and/or participating in the event, participants are deemed to have read, understood, and agreed to this policy.
Types of personal data collected

The organising committee may collect and process the following personal data:
1. Identity information
  - Full name as stated on the Employee ID
  - Employee ID number
  - Place and date of birth
  - Gender
  - Nationality
2. Contact Information
  - Deloitte email address
  - Phone/WhatsApp number
  - Residential address
  - Emergency contact
3. Registration and competition data
  - BIB number
  - Race category (5K / 10K)
  - Timing chip data
  - Gun time and official time
  - Finisher or disqualification status
  - Cut-Off Time (COT) records
4. Limited health information
  - Declaration of fitness and good health during registration
  - Certain medical information voluntarily provided by participants (e.g., inhaler use)
5. Documentation and media

Purposes of data processing

Participants’ personal data is processed for the following purposes:
1. Identity verification and participant validation
2. Issuance of BIB numbers and timing chips
3. Race management and official timing records
4. Publication of race results through official websites and platforms
5. Determination of winners and prize distribution
6. Event documentation and publication through print, electronic, digital, and social media channels
7. Technical race information
8. Audit, security, and fraud prevention purposes
9. Management of claims, complaints, or incidents during the event
10. Promotional and marketing communications, where participant consent has been provided
All processing activities are carried out in a lawful, limited, and proportionate manner based on the operational requirements of the event.
Legal basis for processing

Personal Data is processed based on one or more of the following legal grounds:
- Participant consent
- Performance of a contract (Terms & Conditions)
- Compliance with legal obligations
- The legitimate interests of the organising committee, provided such interests do not override the rights and freedoms of participants
Data disclosure and sharing

Personal Data may be shared with:
- Official timing system providers
- Jersey, BIB, and race pack suppliers
- Event sponsors and partners
- Documentation and media vendors
- Hospitals or medical personnel in emergency situations
- IT system and website service providers
- Government authorities where required by law
All third parties receiving personal data are required to maintain confidentiality and implement appropriate data protection measures in accordance with applicable regulations.
Publication of participant names and race results

Participants understand and agree that the following information may be publicly disclosed through the official website and/or race result publication platforms:
- Full name
- BIB number
- Race category
- Race timing results (Gun time and official time)
- Finisher status
Such publication forms part of the transparency and integrity of the competition and shall not be considered a violation of privacy.
Documentation and intellectual property rights

By participating in the event, participants:
- Authorise the organising committee to capture photographs and/or videos during the event;
- Consent to the use of such documentation for promotional, publication, and communication purposes without time limitation;
- Acknowledge that all documentation produced during the event shall be the property of the Organising Committee; and
- Waive any right to financial compensation arising from the use of such documentation.
Data retention and storage

Personal data will be retained:
- Throughout the event period;
- For as long as necessary to fulfill administrative, operational, and legal requirements; and
- In accordance with applicable laws and regulations.
Upon completion of the event, personal data will be securely deleted or destroyed.
Data security

The organising committee implements reasonable technical and organisational safeguards, including:
- Restricted-access database systems
- Password protection and encryption measures
- Internal access controls
- Confidentiality agreements with vendors and service providers
However, participants acknowledge that data transmission over the internet carries inherent security risks.
Participants’ rights as data subjects

In accordance with applicable laws and regulations, participants have the right to:
- Obtain information regarding the processing of their personal data;
- Access and obtain copies of their personal data;
- Correct or update their personal data;
- Withdraw consent at any time;
- Object to certain processing activities;
- Request deletion of their personal data, subject to applicable legal obligations.
Requests may be submitted through the organising committee’s official email address.
Personal data breach

In the event of a personal data breach, the organising committee will:
- Notify affected participants no later than 3 x 24 hours after becoming aware of the breach;
- Explain the types of data affected; and
- Provide information regarding mitigation measures undertaken.
Cross-border data Transfers

Where personal data is transferred outside Indonesia (including through the use of international servers), the organising committee will ensure that:
- An equivalent level of data protection is maintained; or
- Appropriate and legally binding data protection agreements are in place.

By participating in Deloitte Runify 2026, participants consent to being contacted by the organising committee or appointed third parties through:
- Email
- Telephone
- WhatsApp
- SMS
- Direct Messages
For purposes including event-related communications, technical information, prize distribution, and other matters related to the event.
Changes to this policy

The organising committee reserves the right to amend or update this policy at any time to accommodate operational requirements and regulatory developments. The latest version of the policy will be made available on the official event website.

Terms & Conditions
Deloitte Runify 2026

This programme is organised by Deloitte Runify 2026.
All individuals who are involved in and actively participate in this Programme ("Participants") are deemed to have read, understood, and unconditionally agreed to comply with and be bound by the terms and conditions of the Programme as set out below, including any amendments that may be made from time to time ("Terms"). All decisions made by Deloitte Runify 2026 regarding matters related to this Programme shall be final.

Participant eligibility requirements

Participants must complete registration through the Deloitte Runify 2026 website by providing all required information and agreeing to all applicable terms and conditions.
Participants acknowledge that this activity will take place in the morning.
Participants must be at least 17 (seventeen) years old, possessing a valid Deloitte Employee ID at the start of the Programme period.
Participants must be in good health at the time of registration and must remain healthy and fit on the event day.
Participants must be willing to take part in all activities determined by the organising committee.

General terms and conditions

Participants must complete the registration form using accurate information that matches their official identification and Deloitte Employee ID. The use of initials in place of full names is not permitted.
Registration details submitted by participants, including name, category, race, gender, and other registration information, cannot be modified once the registration process has been completed.
The organising committee reserves the right to close or extend the registration period before or beyond the announced deadline, with or without prior notice, if participant capacity is deemed sufficient or for other operational considerations.
Participant registrations are non-cancellable, and registration fees are non-refundable under any circumstances.
By registering, participants are deemed to have agreed to all rules and regulations established by the organising committee.
By registering, you have willingly granted consent for the release of your photo and video content captured during the event. Please refer to the consent here: https://deloi.tt/3ToR8bt (you are not expected to make any changes or download the file).
The organising committee reserves the right, and participants hereby grant their consent, for the committee to capture and use photographs and/or videos of participants' involvement in the Programme for the committee’s purposes for an unlimited period of time, without requiring separate consent and without providing any compensation to participants and/or winners. All photographs and/or videos of participants and/or winners taken by the organising committee or any third party engaged by the committee in connection with the Programme shall remain the property of the organising committee.
Participants assume full responsibility for their participation and shall not hold the organising committee liable, nor make any claim, demand, lawsuit, or request for compensation of any kind for bodily injury, death, or property damage arising from or related to their participation in the Programme.
Participants are solely responsible for the safety and security of their personal belongings throughout the Programme. The organising committee shall not be liable for any loss of or damage to personal property.
Participants are prohibited from storing valuable items in the baggage storage area provided by the organising committee.
Animals, bicycles, inline skates, baby strollers, pushchairs, roller shoes, or any other wheeled devices are not permitted on the event route.
Participants shall uphold the principles of sportsmanship throughout the event and agree not to engage in any conduct that may harm, disadvantage, or disrupt other participants.

Technical terms and programme mechanism

Programme mechanism
- Participants must wear the race bib corresponding to their registration details, refrain from any form of misconduct or cheating, and successfully complete the race within the following Cut-Off Times (COT):
  - 5K: 60 minutes
  - 10K: 120 minutes
- Participants who complete the race outside the designated Cut-Off Time will not be eligible to receive a Finisher Medal at the event.
- Participants who start the race before the official start time will be disqualified.
- Participants who fail to comply with any rules established by the organising committee will be disqualified.
- The organising committee's decisions regarding winner determination are final and binding.
Categories & Race distances
- The event consists of:
  - 10K Race Run
  - 5K Race Run
- Participants must compete fairly and comply with all race regulations.
- The official race route will be announced by the organising committee and must be followed by all participants.
Race Pack Collection (RPC)
- Participants must collect their race pack at the date, time, and location specified by the organising committee.
- Race pack collection may be authorized by a representative, provided they present an authorization letter and a copy of the participant's identification/Employee ID.
- The race pack includes an official event jersey, race bib (BIB), timing chip, and any additional items announced by the organising committee.
Race rules
- Participants must wear the official race bib (BIB) issued during race pack collection.
- The race will start promptly according to the official schedule. Participants arriving more than 10 minutes after the start time will not be permitted to begin the race.
- Each participant’s official race time will be recorded through the timing chip.
- Official race results will be published on the official website and other platforms designated by the organising committee.
- Participants who lose or fail to use their timing chip correctly will not receive an official race time.
- The use of vehicles or any external assistance during the race is strictly prohibited.
- Race timing will be measured using the official timing system provided by the organising committee.
- Winners will be determined based on the fastest Gun Time.
- The organising committee reserves the right to disqualify participants who engage in cheating or unsportsmanlike conduct.
- All decisions made by the organising committee are final and binding.
Awards & prizes
- Winners will be determined based on their official timing chip results (Gun Time).
- Prizes will be awarded to the top three fastest finishers in each race distance and gender category (Male and Female).
- Finisher medals will only be awarded to participants who complete the race within the designated Cut-Off Time.
Force Majeure
- The organising committee reserves the right to amend the event schedule, modify the route, or cancel the event in the event of force majeure, including but not limited to extreme weather, natural disasters, or other circumstances that may jeopardize participant safety.
- If the event is cancelled due to force majeure, the organising committee shall not be liable for any refund or compensation.
Jersey and BIB Regulations
- Participants are encouraged to wear the official event jersey provided by the organising committee.
- The BIB number serves as the participant’s official race identification number.
- Participant registrations and BIB numbers are non-transferable and may not be sold or assigned to another individual.
- Any participant found selling or transferring their BIB number will be subject to disqualification and/or suspension from future events for all parties involved.
Prize collection
- The organising committee reserves the right to cancel, modify, or substitute any prize at any time, with or without prior notice.
- Prizes will be processed and distributed within the timeframe determined by the organising committee. Prizes are non-exchangeable and non-transferable.
- Prize collection cannot be delegated or transferred and requires presentation of original identification matching the participant's registration details.
- Prizes that have been accepted cannot be exchanged, and any damage occurring after receipt shall not be the responsibility of the organising committee.
- Race packs may only be collected on the dates specified by the organising committee.
- Decisions made by the judging panel regarding winners are final and binding.
- The organising committee reserves the right to distribute prizes within the timeframe it determines.
Injury during the race
- Participants with pre-existing medical conditions are required to bring their own medication (e.g., inhalers).
- Participants are solely responsible for their own safety throughout the event.
- The organising committee is only responsible for providing first aid assistance and arranging transportation to the nearest hospital in the event of an injury or accident during the race.
- Any further or intensive medical treatment required shall be the sole responsibility of the participant concerned.
- Parents or guardians are fully responsible for all matters relating to children, including injuries or accidents involving children.
- Participants acknowledge and understand the risks associated with participating in the race and waive any right to make claims, demands, lawsuits, or seek compensation of any kind against the organising committee for incidents that may result in injury, disability, or death.
Baggage storage
- Baggage storage services will be available from 04:00 WIB to 08:30 WIB.
- Participants are prohibited from storing valuables in the baggage storage area provided by the organising committee.
- Participants wishing to deposit or retrieve belongings must present their BIB number to the baggage counter staff and complete the baggage storage form provided.
- By using the baggage storage service, participants acknowledge and agree that the organising committee shall not be responsible for any personal belongings or property that is lost, damaged, or stolen during the event.
Personal data
- By participating in this Programme, each participant is deemed to have read the personal data policy available on the Deloitte Runify 2026 website and hereby consents to the collection, processing, use, and disclosure of their personal data to the organising committee, its affiliates, and/or third parties engaged by the organising committee for purposes related to the administration and execution of the Programme.
- Where necessary, the organising committee may publish participants’ and/or winners’ names, photographs, or testimonials for communication, promotional, advertising, and publicity purposes across print, electronic, and digital media without any compensation.
- By participating in the Programme, participants consent to being contacted by the organising committee or its appointed third parties through direct messages, email, telephone, or SMS.
- Participants further consent, for the period permitted by applicable laws and regulations, to the storage and use of their personal information for verification, prize fulfillment, compliance with internal policies, and related communications.
Miscellaneous
- Any materials submitted as part of the Programme must be original works owned by the participant and must not contain violence, harassment, pornography, discriminatory content, or infringe upon any third-party intellectual property rights.
- Participants grant the organising committee the right to use any submitted materials in any media, including Deloitte Runify 2026 social media channels, for an unlimited period without requiring additional consent or compensation.
- Manufacturers and/or publishers of prizes are not affiliated with and do not sponsor this Programme.
- Deloitte Runify 2026 reserves the right, at its sole discretion, to disqualify any participant or winner who fails to comply with, violates, or is suspected of violating these Terms and Conditions based on verification conducted by the organising committee.
- The organising committee reserves the right to amend these Terms and Conditions at any time without prior notice.
- The organising committee reserves the right to cancel, postpone, or modify the Programme in the event of circumstances beyond its reasonable control or force majeure.
- If prizes cannot be awarded as planned for any reason, the organising committee reserves the right to substitute prizes with alternatives of equivalent value.
- Any additional costs associated with the receipt or use of prizes shall be borne solely by the winner.
- The organising committee shall not be responsible for failure to deliver prizes due to incorrect address or contact information provided by the winner during verification.
- Neither the organising committee nor any party professionally involved in the implementation of Deloitte Runify 2026 shall be liable for:
  - Any damage, failure, or error in electronic data transmission;
  - Any communication line failure, regardless of cause, involving equipment, systems, networks, satellites, servers, computers, or service providers used in connection with the Programme.
- If any provision of these Terms and Conditions is found to be invalid, unlawful, or unenforceable, the remaining provisions shall remain in full force and effect.
- No individual or organisation may reproduce, copy, distribute, or publish any content from the Deloitte Runify 2026 website without prior written permission from Deloitte Runify 2026.
- Please be aware of fraudulent activities. Deloitte Runify 2026 shall not be responsible for any transactions conducted outside of the official website.
- Any disputes arising from or relating to the Programme shall be resolved amicably through mutual consultation and agreement.
